To submit your claim, follow the steps on the form and give us all the necessary information. We believe in honesty and efficiency, so we will work quickly and accurately on your claim. Types of Freight Claims with Cowan Systems

When you choose Cowan Systems to ship your freight, you expect it to arrive safely and in a timely manner. But sometimes unexpected things happen, and you may need to file a claim. A freight claim requests reimbursement if your shipment is lost, damaged, or delayed. Let’s look at the different types of freight claims you may encounter when using Cowan Systems for shipping.

The first type is damage claims, which happen most often. If your shipment arrives with broken or damaged items, you should file a damage claim with Cowan Systems. It’s important to check your items carefully when they arrive and take pictures of any damage as proof that it happened during shipping.

The second type is loss claims. This type of claim is filed when your shipment doesn’t arrive or is delivered to the wrong address. If you’re waiting for your shipment and it doesn’t arrive, you should file a loss claim with Cowan Systems to get compensation for the missing item(s).

Shortage claims are the third kind. The claims differ from lost claims and are made when only part of your shipment arrives. For example, if you were supposed to get 20 boxes but only received 19, you should file a shortage claim for the missing box.

The final type of claim is a delay claim. These claims are less common and are related to the timing of your shipment rather than its condition. If your shipment arrives much later than expected and causes issues or losses for you and your business, you can file a delay claim with Cowan Systems. But keep in mind that not all shipping services guarantee delivery times, so whether you can file a delay claim depends on the specific terms of your contract with Cowan Systems.

No matter the claim you file with Cowan Systems, it’s critical to act swiftly and keep solid records of everything related to your shipment. This includes taking photos of your items before and after shipping, keeping track of all shipping documents, and reporting any problems as soon as possible. Filing a claim may seem like a hassle, but it’s vital to protect yourself and get the compensation you deserve if anything goes awry with your freight.

What to do when freight damage is found

  • Thoroughly inspect the integrity of the external packaging.

  • If external packaging, shrink wrap etc. is not intact, record any damages on the Bill of Lading (BOL) or Proof of Delivery Receipt (POD).

  • Take photographs of any external packaging damage and product damage.

  • Contact Cowan Systems immediately to report damages (not your third-party logistics service provider).

  • Don’t throw anything away. If Cowan Systems inspects the product, they will use this to determine if the damage to the product is consistent with damage to containers.

  • Note: For concealed damage, most carriers have a 5-day deadline from the delivery date to file any damage claims. If you find damages after the delivery of your product, follow the same protocol above within those 5 days.

Important Information

If you’re shipping goods with Cowan Systems through FreightCenter and discover any damage to your freight, it’s essential to take immediate action. The first step is to thoroughly document the damage by taking clear photos from different angles, noting any visible signs of harm on both the packaging and the contents. This evidence can assist in speeding up the claims process and increase the likelihood of a successful outcome.

After documenting the damage, it’s critical to assess its severity and how it affects the functionality and safety of the goods. This evaluation will help you decide the next steps to take and prioritize efforts to resolve the issue. If the damage makes the goods unusable, contact Cowan Systems through FreightCenter right way to arrange for a replacement or return shipment.

If you discover freight damage during shipping, it’s critical to inform the recipient immediately. Being transparent helps maintain trust and manage expectations. Provide detailed information about the damage and the steps you’re taking to address it. Proactive and transparent communication shows your commitment to excellent customer service and allows the recipient to adjust plans or inventory accordingly.

If you receive damaged freight from Cowan Systems, follow their specific procedures, which typically involve providing documents like a bill of lading, proof of value, and evidence of damage. Following these requirements increases the chances of a fast and favorable resolution, minimizing disruptions to your business operations.

While waiting for your claim to be resolved, take preventative measures to avoid future freight damage. Review your packaging procedures and consider adding more protective measures to guarantee the safety of your shipments during transit. Additionally, assess your choice of carrier and shipping methods to make sure they align with your business’s needs and goals. Learning from this experience and taking preventative measures enhances the efficiency of your logistics operations and reduces the risk of damage in the future.

To make a valid liability claim, Cowan Systems must be at fault for the damaged or lost freight.

If damages occur from inadequate packaging, loading errors, or weather-related instances, Cowan Systems is not responsible or at fault for the damage.

Collaborating, effective communication, and transparency are essential when dealing with freight damage issues through Cowan Systems and FreightCenter. By taking these steps and leveraging FreightCenter’s partnership with Cowan Systems, you can confidently navigate freight damage challenges and achieve a positive outcome for all parties involved.
